CentraCoop privacy policy
This policy applies to CentraCoop Desktop and CC-Setup, Windows applications published by VUMY Technologies. It explains what stays on the customer’s computer, what limited information is sent to VUMY, and the choices available to customers and users.
1. Who is responsible
The cooperative society or other customer using CentraCoop controls the member, staff, accounting, and operational records it enters or imports. VUMY Technologies controls the limited licensing, device-approval, setup-access, update, and support information described below.
VUMY Technologies is located at 11/9E2, Ganapathi Nagar, Pappireddipatti, Dharmapuri, Tamil Nadu 636905, India. Privacy questions can be sent toprivacy@vumy.net.
2. Data handled locally
CentraCoop is local-first. The following information may be stored and processed on the customer’s Windows computer:
- society, office, department, member, nominee, surety, staff, and payroll information;
- shares, deposits, loans, demand, collection, receipts, expenses, assets, vouchers, ledgers, balances, and reports;
- bank, identity, contact, address, tax, and other onboarding fields present in a customer-selected workbook;
- customer-selected photographs, signatures, exported reports, local database files, and backups.
CC-Setup reads the workbook and optional media folder selected by the operator and prepares the CentraCoop data locally. The workbook, the CentraCoop database, photographs, signatures, and full accounting records are not uploaded to VUMY as part of setup.
3. Data sent to VUMY
| Purpose | Information sent |
|---|---|
| Desktop activation | Name, email address, phone number, optional device label, app version, installation identifier, and a pseudonymous device fingerprint derived on the computer. |
| Licence checks | Device and installation identifiers, device fingerprint, licence certificate, app version, and check time. |
| CC-Setup approval | Setup and Desktop device/session identifiers, app version, selected source type, and an optional request note entered by the operator. VUMY records whether the temporary access window is pending, approved, rejected, expired, revoked, or closed. Closing the window sends no workbook, CentraCoop data, filenames, local paths, record counts, or findings. |
| Updates | Ordinary web-request information, such as IP address, user agent, requested update channel, and request time, may appear in service security logs. |
| Support | Only information the customer or user deliberately sends to VUMY, such as a diagnostic bundle, screenshot, report, or backup requested for a support case. |
CentraCoop does not use advertising trackers and does not automatically upload society records for product analytics or AI-model training.
4. Why we use online information
- to review and approve authorised customer devices;
- to issue, verify, renew, revoke, and protect software licences;
- to approve and close controlled CC-Setup sessions;
- to deliver update information and maintain service security;
- to provide support when a customer asks for it; and
- to meet legal, fraud-prevention, accounting, and security obligations.
We rely on the customer relationship, the steps a user takes to request activation or setup access, legitimate security and support needs, and applicable legal obligations. Where law requires consent, the customer or user may withdraw it for future processing, although features that depend on that information may then be unavailable.
5. Storage, security, and service providers
Core society records are stored in the customer’s local CentraCoop data folder and local backups. The customer is responsible for Windows account security, authorised workstation access, physical security, backup handling, and any copies it exports or shares.
Online information is transmitted over encrypted HTTPS connections. VUMY uses pseudonymous device identifiers, signed licence certificates, access controls, and service logging to protect its licensing and approval systems. No security measure can eliminate every risk.
VUMY may use service providers, including Microsoft for Store delivery and Cloudflare for website and application infrastructure. They process data under their applicable terms and security commitments. Depending on their infrastructure, limited online information may be processed outside India with safeguards required by applicable law.
6. Retention and deletion
VUMY keeps licensing, approval, access-window, security, and support records only for as long as reasonably needed to operate the licence, support the customer, maintain an audit and security trail, resolve disputes, and meet legal obligations. A deletion request may be subject to records that VUMY must retain for security, contractual, or legal reasons.
Local society records and backups remain under the customer’s control. Uninstalling CentraCoop Desktop or CC-Setup may leave those records in place so that a later reinstall does not destroy customer data. The customer should verify its backups before an authorised administrator deletes the local CentraCoop data folder.
7. Your choices and rights
- Activation information is required to use a licensed CentraCoop Desktop installation. CC-Setup approval information is required only when using the controlled workbook-onboarding utility.
- Sending files or diagnostic material for support is optional and user-initiated.
- Depending on applicable law, you may request access, correction, deletion, restriction, or a copy of personal information held by VUMY, and may raise a grievance about its handling.
Send requests toprivacy@vumy.net. VUMY may need to verify the requester and coordinate with the customer organisation before acting on a request involving its records.
8. Children
CentraCoop is business software for authorised cooperative-society staff. It is not directed to children. Any member information concerning a minor must be handled by the customer under applicable law and its own procedures.
